Meeting Minutes

Date: July 9, 2020

Location:  Janine Thomson’s Home

Meeting called to order at 6:39 p.m.

Previous Meeting minutes approved.  Moved by Linda, seconded by Angela, carried.

Treasurer’s Report:  

-$2,189.00 – GIC, $2,362.00 – Chequing. 

-2020 Membership: 14 single, 4 family

B. Rides1.   Timeline re return to competition – as of July 7, 2020 rides      following Covid guidelines may resume.  Carrie received an email of the final draft.
 
22.  Covid Protocols for MTRCa) Registration and waiver online.  Riders must complete and print self declaration and present it to the Ride Manager/Day Manager who will collect the declaration form from everyone who attends the ride (riders, volunteers, helpers, etc)b) Butt numbers will be written on horse’s rumps rather than using clip on # tags.  Markers will be needed.c) Judy contacted Linda H. on July 12 requesting masks and signage for Covid which MHC said they would make available for clubs.  No response. Judy sent a reminder but nothing so far.  We need signage and masks for volunteers and the vet.  d) Linda will purchase PPE required and the club will reimburse her.  Linda will let the vet know that we can supply face masks but if they prefer they can use their own.  She will also let them know that there is no food.e)  Carrie will get a release for the farmer whose land we are riding on at Gross Isle.  She will also have extra copies of the self declaration form in case people arrive without one.  She will also post daily reminders on MTRC website that there is NO onsite registration.
3.  Responsibilities for Covid Rep at Ridesa)  Judy is our Covid Rep.  Her role is to funnel all Covid info to the club.b)  The Ride Manager takes final responsibility for managing Covid mitigation for participants.  The RM can delegate a Day Manager to implement and monitor Covid protocols and compliance at a ride e.g. registration, social distancing, collecting signed waivers, signage, sanitizer,  zip lock bags on clip boards, signage, sanitizing station,  # of people, etc.
 Linda’s RideMary is the Day ManagerLinda will purchase large Zip lock bags for score cards.Message Linda if you want to camp the night before the ride.Registration will go on-line Monday.Maximum speed for 15 mile is 4.5 mph; 25 mile is 5.5 mph with a 15 minute vet check; 40 mile is 6.5 mph.
 BHP Ride – No ride ManagerSandilands – Linda mailed paperwork to Winnipeg and Steinbach. Linda will let the ATV club know that there is a ride.

C. MHC Granta) Susan reported that DRM and MTRC each asked for a grant of $639.50 to go towards pens at Spruce Woods.  Each club was going to contribute $419.50 towards the pens.  MHC granted each club an increased grant of $833. Both clubs do not have to match the increase in the amount.  We will use MHC funds first and then top off the amount needed for the pens.  If there are extra allocated funds, that money will go towards a dedication ceremony/celebration.  Friends of Spruce Woods have stated that they will be responsible for everything involved in building two new 20 by 20 foot pens at the Spruce Woods Equestrian campground.  All we need to do is let them know when we would like this done. Thank you Susan for all of your hard work on this project!  Friends of Spruce Woods are thrilled and riders from many disciplines will enjoy using these new pens. b) Mary Anne will write The Friends Of Spruce Woods a cheque when she receives an invoice.
