Meeting Minutes
September 10, 2018
Location: Kelli Hayhurst’s home

Attendance:  Linda Cruden, Linda Gillies, Tammy Storie, Kelli Hayhurst, Iris Oleksuk, Angela Roberts, Darice Whyte, Terry McKee, Brenda Tolpa, Carrie Schellenburg-Wilson, Susan Sheald and Janine Thomson.

Meeting Called to Order:  6:25 pm

Meeting Minutes:   Motion to accept the minutes as written.  Accepted by Janine Thomson and Linda Cruden, carried.

Treasurer’s Report:  No treasurer’s report as Mary Anne Kirk was unable to attend.

Old Business

Paint Night – Tabled until next meeting.

AGM:   The AGM is confirmed for Saturday November 10, 2018 at Roxie’s in Selkirk, MB for 10am sharp (if you will be ordering breakfast please come earlier than 10 as the meeting will begin promptly at 10am).  Scheduling of the rides will commence at 12noon sharp and the Distance Riders of Manitoba will have their AGM at 1:00 after the scheduling of the 2019 rides.  Linda Cruden has agreed to make notes on Face book about the AGM as well as the website. 

Mars Hill Ride: Very well run by Carrie Schellenburg-Wilson and Trish Leiman-Ford, excellent job and well attended.    The written trail description was very helpful and posts on Face book about the rides were also helpful.  Confusion about whether tack should be removed at check points was discussed and determined that at Full Vet Checks the tack must come off and will be noted on the whiteboard at the beginning of the ride.  It was also noted that it is noted in the rules that it is at the discretion of the veterinarian.

New Business

Volunteer Coordinator:  Tammy Storie has agreed to be the volunteer organizer for both MTRC and DRM to ensure volunteers are pre-determined for rides.  It will be an official position for club.  The club has also decided that training for volunteers as pulse takers will be done and a list of trained individuals will be noted.  Procedure for the hand held pulse takers will be calibrated on one horse pre-ride for consistency.   Also that the space between riders going out will be 15 minutes to avoid bunching up at the vet checks.  The 25 mile novice division will be allowed to go out earlier than the allotted 1 hour between Open and Novice.    The need to make a designated vet area and holding area to avoid clutter.  Possible new staging area for Sandilands.  

MEC:  Linda Cruden will be co-coordinating the entries by Manitoba Horse Council.  Mary Anne Kirk will be managing.  Tammy Storie will put poll on Face book to find out who is riding.  Possible volunteers Linda Cruden and Brenda Tolpa.  Linda Cruden will confirm ride staging location.  Terry McKee and Darice Whyte will demark the 15 mile loop and Linda Cruden and Angela Roberts will de-mark the 10 mile loop.

Fundraising: Fundraising for the AGM will be done by Linda Gillies.

Junior Placings:  The board will check into the junior placings.  Year end is based on same horse/rider combinations.

Spruce Woods 2019:    Angela Roberts is putting feelers out to have a 2 day ride where placings will be determined on 2nd day.  It was agreed that she will proceed to plan more and discuss at a later meeting.

Possible Merger:   The topic was brought up and it was determined that a meeting between the board members from both clubs will set up a meeting to discuss prior to opening it up for discussions.  The date will for the meeting to be determined.
