Meeting Minutes

Date: June 10, 2020

Location:  Iris Oleksuk’s Home

Meeting called to order at 7:00 p.m.

Attendance:  Iris Oleksuk, Terry McKee, Mary Anne Kirk, Carrie Wilson, Linda Gillies, Natalie Nordin, Janine Thomson

Previous Meeting minutes approved.  Moved by Natalie, seconded by Janine, carried.

Treasurer’s Report: 

            -$2,189.00 GIC, $4,923.62 Chequing.

            -2020 Membership: 14 single, 4 family

            -No bills to pay

  Horse Identification – Donna and her husband completed, donated and delivered the ID Tags to Iris.  It will be decided how they will be distributed e.g. fund raisers, given to members/riders at events, etc..  Many thanks Donna!

B. Ride Dates 1.   Discussion re the importance of MTRC and DRM boards        discussing and collaborating on ride dates to make the most         of the ride season.  
  Depending on the situation with Covid the following ride dates have been set:   July 25, 2020 – Gross Isle (MTRC).  Linda will be Ride Manager and Trail Marker.  Linda will contact Susan to arrange a vet.  Linda will check with Andy to determine how to set up parking spaces for trailers.   August 22, 2020 – Birds Hill Park (DRM) Ride Manager needed. Darice will mark trail.  Once RM is determined Susan will arrange for a vet.   August 23, 2020 – Birds Hill Park (MTRC) Iris will ask Angela if she will Ride Manage.  Darice will mark trail. Once RM is determined Susan will arrange for a vet.   September 5 & 6, 2020 – Souris (DRM) Myna is Ride Manager and Trail Marker   September 12, 2020 – Sandilands (MTRC) Ride Managers are Linda G. and Mary, Trail Marker is Iris, Vet ?     September 26, 2020 – MHC at Birds Hill Park (DRM)  Ride Manager ?, Trail Marker is Darice,  Vet ?   September 27, 2020 – MHC at Birds Hill Park (MTRC) Ride Manager ?, Trail Marker Darice, Vet ?   October 3 & 4, 2020 – Belair (DRM) Ride Managers are Troi and Tricia, Trail Marker ?, Vet ?     ** Natalie will volunteer to Ride Manage at one of the rides needing a RM once she checks her schedule.         Linda           Darice Susan   Iris   Susan         Linda, Mary Iris     Darice         Troi, Tricia     Natalie
C. Council of Clubs Meeting Phase 2 is a return to play, not competition.  Any clinics, rides, etc. cannot affect member’s points or standings.   Phase 3 will be June 21st at the earliest.  Manitoba Health makes that decision.  A document is being prepared and the province must give final approval.  As a club we need to develop our own document specific to us.  It must include distancing, registration (everyone who attends must register), signage, documents such a liability waivers, parking, etc..  Signage and masks will be provided by MHC if we ask for them.  Iris will ask for masks and signage.  The club needs to have a folder with documents: liability waiver, risk assessment form.  Records must be kept for 21 days in case someone gets sick. Carrie and Judy have volunteered to be Covid reps for MTRC and DRM.  They will ask questions of MHC and receive answers. Carrie will re do the wording on the MHC waiver and substitute it as our waiver. This form will have to be completed and printed by riders prior to the event and be handed in at the ride “In Gate”.  A designated volunteer must collect this form prior to ride participants getting out of their vehicle or as soon as possible. Carrie is making a Covid checklist for both clubs. There was discussion regarding the following measures to help comply with Covid safety requirements: no food provided at rides, no goody bags, no ribbons (to be distributed at year end party), no walk up registrations, on- line pre-registration only, no bathroom facilities provided by the club. Ride maps/instructions could be emailed to riders prior to the ride and printed at home or downloaded onto a phone. We may need to limit the total number of participants if we approach 50.  We then may need to negotiate so the riders bring a minimum number of support personnel/spectators. Participants other than riders will include: Ride Manager, Vet, Timer, Scribe and Covid Rep or volunteer.  The vet will take pulses.  Ride manager and timer could do courtesy checks with individual heart monitors.                       Iris       Carrie and Judy   Carrie           Carrie
