Meeting Minutes

Date: February 23, 2020

Meeting called to order at 11:20 a.m. a.m. 

Attendance:  Iris Oleksuk, Angela Roberts, Kelli Hayhurst, Terry McKee, Mary Anne Kirk, Brenda Tolpa, Carla Melquist, Carrie Wilson, Linda Cruden

Previous Meeting minutes approved.  Moved by Angela,seconded by Brenda, carried.

Treasurer’s Report:  

    $2,189.00 GIC, $5,575.51 Chequing. 

    2020 Membership: 7 single, 4 family = 15 total

    $262.50 outstanding for Bud, Spud, Bird Hall rental

    $1,841.90 profit from 2020 Bud, Spud, Bird

    Motion to pay club rental and score card bills. Moved by Kelli, seconded by Linda, carried

    $390.55 Directors Insurance due next month

A. Club Management

  1. Ride Managers Handbook completed by Iris and Angela. Iris made hard copies for ride managers.  Iris will include coaching levy forms

Zoho – Carrie and Brenda met to work on Zoho to create online entry forms. Brenda volunteered to add necessary info after each ride e.g. scoring info, info from entry forms completed the day of the ride.

Ride Managers will complete the spread sheet after their ride and send it to Kelly.

Iris will add a space on the entry form for insurance info for out of province riders and a space for payment information.  She will also make up several payment information forms in plastic sleeves to be placed at the registration table on the day of the ride.

There was discussion about the need for junior riders to have a NCCP#.  Iris will contact Linda Hazelwood to look into what we do with junior riders, liability for sponsors, etc.

Website – Iris will pay change of contract fee for the website

Website – Carrie asked people to think about the idea of combining the DRM and MTRC websites as she feels it would be easier to manage

Vet Recruitment: All vets confirmed except for Sandilands.  Susan will contact Brittany to clarify/confirm her vetting date(s).

MHC Grant – Grant has been submitted.  If approved MTRC will contribute $409.50 towards a pen at Spruce Woods

 

7.

Committees:  Iris shared a catalogue she received from Mary.  Carrie will talk to Shannon re clothing option.

Google docs – All info on the directors’ memory sticks is now on Google Docs.  Kelli is managing Google docs and will demo the program at the next meeting to help us all input and access info.  Bring your laptop to the next meeting if you want to learn how.  All info must be stored in Google docs.

  Photo Album – Carla will take over the photo albums.  She will add photos from rides and ride info

Green Folder Update – Iris has only a few minor changes to make and then the entry form and fee card will be complete

Safe Sport – This directive has come from MHS and Sport Manitoba.

B. Inventory

1.   Items needed: Iris and Angela will check the ribbon inventory.

C. Manitoba Horse Council

1.  MEC: Unofficial date set as September 19 & 20, 2020. 

 Iris will check with Linda Hazelwood to see how we get the second day on the Spruce Woods entry form.

D. General Updates

1. Bud Spud for next year – We will continue with this very successful fundraiser next year.  We will try and get the date set sooner so we can promote the event earlier.  Iris will check with the curling club to see when we can confirm a January date.

New Business

  1. Canadian Horse Journal – Iris will let them know we are interested in being sponsored again this year.  Sponsorship includes copies of the magazine, gift certificates, reduced ad rates.

The suggestion was made that we advertize the August Spruce Woods Rive in the Canadian Horse Journal

Waiver Discussion – the waiver form can be completed on Zoho.  Brenda and Carrie will look at streamlining the form to reduce the number of times the same information has to be added.  

Iris will add a box on the entry form to indicate that the waiver form has been read and signed.

Belair Well – The well has been found at Belair.  There was discussion about buying a manual pump or using a motorized pump.  Some people wondered if the water was safe to use.  No decision was made.

The forester advised Susan that for the May 30th date there is always the possibility of a fire closure  and also tree planting camp possibilities. 

Iris will call Steinbach to find out what forms we have to use for provincial forests.

 

4.

Clinic for Competitive Trail Newbies and Volunteers – May 9 at 11.  Cost $10.  The exact location is somewhere in Birds Hill Park.  Iris will check with Shannon re permit and with Linda Hazelwood and John (MHC) to determine exactly where we will be located.

Carrie will do Preregistration and advertising on Facebook and website.

List of what entrants should bring includes waiver, Coggins and helmet.  A more detailed list will be developed at a planning meeting

Mentors – Lookkng at 2 new riders per mentor.  Possible mentors includes:Janine, Angela, Carrie, Carla, Lisa, Rusty, Tauni, Shannon, Tammy, Dianne, Elizabeth, etc.
