Meeting Minutes

Meeting called to order at 6:13 p.m.

Attendance:     Iris Oleksuk, Angela Roberts, Terry McKee, Linda Gillies, Mary Anne Kirk, Brenda Tolpa, Janine Thomson, Susan Heald, Kari Hasselriis

Acceptance of minutes from September 1, 2020 MTRC Meeting: Moved by Janine, seconded by Angela, minutes accepted                  

Additions to agenda:  None

Treasurer’s Report: 

            GIC – $2,199.95, Chequing – $7,763.93

            2020 Membership: 28 single, 8 family = 44 total

Bills to be paid: Linda G. – $8.96; Spruce Woods Corral – $1,029 to be paid to Susan H.. Payment for MTRC’s portion of the new equipment trailer will be paid in full to DRM upon approval at the AGM on November 7, 2020.

 4.  Equipment Management – Janine will pick up the new equipment trailer from Darice. Janine will manage the equipment.Janine
 5.  Meeting with MHC, Birds Hill Park, DRM and MTRC to discuss ride location in BHP: – Kari H. will text a Folk Festival contact to see if they would be open to allowing us to use an area of the Folk Festival site to hold a ride.  – Terry will contact Darice to see if we can set up a meeting with DRM, MTRC and Birds Hill Park to arrange for a suitable ride venue in the park.  The East Gate site worked very well this year but would be even better if we held the ride only on the west side of the road leading to the shops at the East Gate.  That way we would not interfere with traffic going to the shops or wood lot.    Kari H.     Terry
 6.  Vetting Circles – There was discussion regarding the benefit of having horses trot a circle at the final vet check.  This had been done in the past and may be in the rules.  Iris and Angela will review the rule book to see if it is there.  If it is there we will include the vetting circle at the final vet check. 7.  Ride Vets – Susan has agreed to arrange for vets for our 2021 rides.  There has been some confusion when other people have gone ahead and arranged vets.  We’ll need to communicate with DRM so that they know Susan will look after arranging for vets for MTRC.  Iris, Angela
B.  Rides1.  “un MEC” – This ride was well attended and was a success.  In the future when we share a ride weekend with DRM using the same trails, MTRC will split the payment for the trail marker with DRM.  Since DRM paid the full amount for the trail marker at un MEC, MTRC will pay the full amount for the trail marker at the next shared ride. 
 2.  Sandilands – This ride was well attended and was another success.  Because of Covid guidelines riders were required to crew at their trailer which made it somewhat difficult for those who were furthest away from the vetting area. This is something to be aware of in terms of planning if Covid guidelines continue next year.  
C.  AGM Discussion1.  Date – Our AGM will be held on November 7, 2020 at 10 a.m. 
 How –  Kari H. will set up Zoom for the AGM.  MHC has Zoom support if we need it.Kari H.
  Fees for Rides and Club membership – The fees for the rides will be adjusted to reflect what was voted on at the last AGM.  Training – $35, Novice $45, Open $55.  Riders get a $5 rebate if they have their NCCP#. -Club Membership Fee will remain the same – $25 for Single and $40 for FamilyBrenda
 New Board Nominations – After serving on the MTRC Board for many years Iris and Angela have decided not to let their names stand for re-election.  They have both worked tirelessly over the years to promote and support MTRC and we owe them a debt of gratitude for their dedication and hard work to make sure we have the opportunity to enjoy Competitive Trail Riding in Manitoba! -Mary Anne has one more year in her term and Brenda and Terry have agreed to allow their names to stand for nomination for the board .  -Kari Hasselriis has been recruited and is allowing her name to stand for nomination as president. -Iris will contact Kara Popplestone to see if she would consider allowing to let her name stand for nomination. -Further nominations can be made at the AGM.                        Iris
  By-laws Update – Iris will send out a motion for MTRC to pay for half of the new equipment trailer so that we can vote on it at the AGM. -Do we need to make any motions regarding how the club functions during a pandemic such as Covid? -Board Members need to send their reports to Iris so they can be ready for the AGMIris         Angela, Mary Anne, Brenda, Terry
  Tentative MTRC Ride Schedule for 2021 – the following ride dates have been proposed for the 2021 ride season.  We’ll work with DRM, our sister club to confirm and adjust as both clubs decide.Saturday, May 29, 2021 – Belair, Ride Manager is Kari H., Trail Marker is Donna G., Day Manager is SteveSaturday, June 26, 2021 – Birds Hill Park, Ride Manager and Trail Marker is Shannon.Saturday, August 7, 2021 – Grosse Isle, Linda G. is Ride Manager and Trail Marker, Mary is Day ManagerSaturday, August 21, 2021 – Spruce Woods, Ride Managers and Trail Markers are Iris and AngelaSeptember ? – “un MEC” at Birds Hill Park – Ride Manager and Trail Markers to be decided.   
D.  Awards1.  Winners of ride categories will be announced at the AGM on November 7th.  Awards will be distributed to winners individually as there will be no Award Ceremony/Celebration this year.Iris
 2.  Iris will look after the pins and badges for this year.      Angela and Terry will look after arranging for awards.  We have an awards budget of $600.Iris Angela Terry
