Meeting Minutes

Oct 4, 2016

Location:  Hailie Emms’ Residence, Stony Mountain, MB

Meeting called to order at 7:00 p.m.

Attendance:  Iris Oleksuk, Angela Roberts, Hailie Emms, and Linda Gillies.

No additions to the agenda.

Minutes from Sep 1 meeting were adopted as read by Hailie, seconded by Angela, carried.

Treasurer’s Report:  $2,156.49 GIC, $2,447.87 Chequing.

Membership: 28 single, 1 family = 30 total

Motion to accept, Angela and Iris, carried.

Old Business





Tabled.  Iris will pick up a copy of the waiver used by Spruce Endurance from Maura.


Rule Book and score card

Rules Committee needs to meet to review the rule book, scorecard, year-end points and website.  Tabled until after the AGM.

Hailie/Natalie to coordinate retrieval of canopy from Iris’.



Fundraiser Idea – Paint Nite

As of the meeting, 8 tickets have been sold.  We require 35 for the event to proceed.  Deadline is 1 November.  ***UPDATE: As of 26 October we have sold 15 tickets.  We still need to sell another 20 before 1 November for the event to take place.***  Hailie shared again on Facebook to have members share the link with their friends.  Iris will follow up with an email in two weeks.




Bud Spud

Iris has checked with the Curling Club, 20 Jan is available.  She will check with the cook for availability.  Last year we received $13/meal.  We need members to start collecting for the silent auction.  Iris has already received a few items.

Executives need to prepare annual reports.  There will be three Board positions open for elections this year.  Awards will be presented at the AGM.  There will be gifts for the first 12 people to arrive at the venue this year.  It will be held at Roxi’s Uptown Café on Manitoba Ave in Selkirk, start time is 10:00 a.m.  We will be discussing the ride schedule for next year as well as whether or not to keep the 15 mile training ride as a competitive ride.  Iris will promulgate the agenda two weeks before the AGM.  There will be no changes to the By Laws this year.

Belair Ride Review

Good ride.  Hailie mentioned that she should have returned sooner to de-mark as she lost 15-20% of the ribbons.  It was mentioned that we should order permanent 2 mile and ˝ mile markers that can be attached to items in the environment (Velcro).



17 riders attended.  We had new riders come out and join us.  Thank you to Maura for marking the trails and Linda Cruden for managing the ride.  Thanks to all the volunteers that helped with a successful last ride of the season.


New Business

Clinic for new members

To be discussed at the AGM.  It was proposed that a clinic should be offered for new members.  Items that were discussed were: How to Condition your Horse, Electrolyting, How to Cool your Horse, Riding the Ride that Suits you and your Horse, Pacing, Bringing Down your Horse’s Heart Rate, and Trail Marking.  Possibly schedule for April/May time frame.



5 November, 2016 at Roxi’s Uptown Café at 10:00 a.m.  Toques will be offered to the first 12 to arrive.  Awards to be presented are: Open Division; Champion and Reserve Champion; Novice Division, Champion and Reserve Champion; Training Division, Champion and Rookie of the Year.  Iris will look after the awards.



Iris will send out an email reminding members to submit their outstanding mileage from other events to Kelli. 



Paint Nite

Angela made deposit for Paint Nite.  $100 non-refundable.

Clipboards, whiteboard, promo items

Iris purchased clipboards, whiteboard, stapler and promo toques. $214.81.
